A Neutral Checklist for Handling a Gaming Complaint

When a gaming-related concern arises, a clear record can help you explain what happened without adding assumptions. This checklist is intended to help readers organise information, review the relevant terms, and choose a careful next step. It does not determine whether a complaint is valid or predict an outcome.

Record the issue precisely

Write a short description using neutral language. Note what action you took, what response you received, and what remains unresolved. Record the calendar date and time shown in your account or correspondence, but avoid guessing about events that are not documented. Keep related messages together and preserve the original wording where possible.

For a focused checklist on keeping an evidence trail, see the complaint and evidence checklist. Treat any guidance as a prompt to verify details rather than as a finding about a particular service.

Separate facts from assumptions

Use two sections in your notes:

  • Observed information: messages, account notices, displayed terms, transaction references, and actions you personally recorded.
  • Open questions: points that need clarification, such as the reason for a decision, the status of a request, or the applicable process.

Do not describe an allegation as an established fact. Avoid editing screenshots or messages in a way that changes their meaning. If you retain screenshots, check them for unnecessary personal information before sharing them anywhere.

Check the relevant terms

Read the current terms and complaint or dispute process supplied through the service’s recognised channels. Compare the wording that applies to your situation with the information shown when the issue occurred. Look for any stated escalation route, contact method, review process, or restrictions that affect how a concern may be raised.

If the issue involves identity or compliance checks, consult current official requirements and use a verified submission channel. Do not guess which information is appropriate to send. Never include card images, CVV or CVC codes, PINs, one-time passwords, passwords, or recovery codes in KYC files, screenshots, email, or chat. Use only the normal fields in a verified payment form when making a payment-related request.

Prepare a concise enquiry

A useful message can include:

  • a neutral summary of the issue;
  • the relevant date or reference shown in your records;
  • the specific point that needs clarification; and
  • the outcome or explanation you are asking the recipient to provide.

Share the minimum information needed through the verified channel. Keep a copy of what you send and any reply. If the response does not address the question, compare it with the published process and consider the next recognised escalation route. Keep expectations measured, and avoid publishing private information or accusing individuals without reliable evidence.
